When a customer submits a quote request through your website, HaulCentrix captures the source, timestamp, vehicle details, and route. The lead lands in a shared workspace where sales staff can add notes, schedule follow-ups, and track every status change without overwriting the original inquiry. Nothing is lost when a rep goes on vacation or changes roles.

Quotes that explain themselves

Pricing is built from the carrier tariff plus your broker deposit, with open and enclosed transport shown side by side. Every quote version is preserved, so you can see exactly what was quoted, when, and by whom. When the customer is ready, one click converts the quote into an order and carries the approved terms forward.

Carrier verification before dispatch

Dispatch does not begin until the carrier has passed a structured verification workflow. HaulCentrix looks up FMCSA authority and safety data, snapshots it so it cannot be overwritten later, and confirms dispatcher identity by calling the FMCSA-listed carrier number — never a number the dispatcher provides. Insurance certificates are read and then independently verified through a mandatory checklist. Unknown phone numbers, changed addresses, shared identities, and other anomalies are surfaced for review. Once the carrier passes, HaulCentrix issues a timestamped, tamper-proof verification certificate and permanently attaches it to that shipment's audit record.

Customer information stays locked until the carrier agrees

Before a Carrier Rate Confirmation is released, exact customer addresses, phone numbers, email addresses, and shipment documents remain hidden. The carrier must electronically accept the Carrier Customer Data Privacy & Non-Disclosure Agreement, disclose any third-party software that will receive customer information, and sign with legal name, MC number, DOT number, authorized representative, and timestamp. Until then, customer information, the rate confirmation, and dispatch remain locked. Refusals are permanently retained in the carrier's history.

Dispatch with guardrails

The dispatch workspace lets you test multiple carriers against one order, but the Rate Confirmation unlocks only after verification is complete. Your team can block any carrier from receiving future loads at any time, and blocked carriers are immediately excluded from dispatch searches and new assignments. Pickup through delivery is tracked in the same record the customer, sales, and finance teams already share.

Pickup and delivery PIN verification

When a verified carrier arrives for pickup, both the customer and the driver are issued a matching one-time PIN through HaulCentrix. The driver must provide the correct code before the vehicle is released, and the customer confirms the same code on their end. This simple but strong check closes a common fraud gap: a scammer who found the shipment details online cannot simply show up with a truck. Only the carrier that passed verification and received the dispatched load can obtain the matching PIN. The exchange is timestamped and attached to the shipment's audit record.
